Understanding the Event Portal

How the Event Portal and each guest's Guest Portal work, and the pages guests use to register, view their confirmation and manage their details.

The Event Portal brings together all the pages your guests use for your event. Guests use it to find your forms, register, view their confirmation, and keep their profile and communication preferences up to date. Every page shares your event branding, so guests have a consistent experience wherever they land.

Every Event Portal page has two parts:

  • Event Header – your logo, page header, event image, title, date, location and map link. It looks the same on every page.

  • Page Content – the part that changes, depending on the page and the guest. It can show a list of forms, a form to fill out, the guest's confirmation and responses, their Event Activity, or their profile and communication preferences.

The Page Content can show:

  • Form Selection Page – all public forms and tickets for your event.

  • Forms – a registration, ticket, RSVP, waitlist or survey form to fill out.

  • Guest Confirmation Page – the guest's status, submitted responses and plus-ones, plus their QR code once confirmed.

  • Guest Portal Home Page – the guest's status and Event Activity.

  • Guest Profile – where guests update their details.

  • Communication Preferences – where guests choose how they hear from you.

  • Guest menu – on pages personalized for a guest, their name appears in the upper-right corner of the Event Header. Clicking it opens View Guest Portal, Edit Profile and Communication Prefs., which link to the Guest Portal Home Page, Guest Profile and Communication Preferences.

Designing the Event Portal

You design the Event Portal once in Portal → Design, and your design applies to the Event Header on every page. You can add your logo, organization name, event image or video, event details and map link, and choose a color theme. A live preview shows each page on desktop and mobile as you edit.

Form Selection Page

The main entry point of the Event Portal, where guests choose the forms or tickets they need.

How guests get there: through your Portal Link.

What it shows:

  • All public forms and tickets for your event, with their names, descriptions and prices.

  • Forms that are private, closed or sold out don't appear. RSVP and survey forms don't appear either, because each guest gets their own link by email.

Forms

Where guests register, buy tickets, RSVP, join a waitlist or complete a survey.

How guests get there:

  • From the Form Selection Page – by choosing one or more public forms or tickets.

  • From a direct form link – that you shared, or embedded on your website.

  • From an email invitation – a private RSVP or survey link sent from Diobox.

What it shows: the form's registration fields, content and custom questions, and for ticket forms, payment.

Create and build forms in Forms.

Guest Confirmation Page

The page guests see after they submit a form. It also works as their receipt.

How guests get there: automatically after submitting a form, or from the link in their confirmation email.

What it shows:

  • Confirmation status – such as Confirmed, Unconfirmed, Waitlisted or Declined, with the guest's name and email.

  • QR code, Add to Calendar and wallet pass buttons – shown only to guests with the Confirmed status.

  • Submitted responses – the guest's answers to each form, with an Edit option if guests can edit their submissions.

  • Plus-ones – each plus-one's name and email, with a link to their own confirmation page.

Choose what appears, such as the QR code, calendar invite and wallet pass buttons, in Portal → Guest Confirmations.

Turn guest editing on or off in Portal → Guest Actions.

Guest Portal Home Page

Each guest's personal home page for your event. A form shows only that form. The Home Page brings together the guest's full history with your event.

How guests get there:

  • From a Smart Reminder – Smart Reminders always link to the Home Page. It works for every guest, whatever their status, group or forms, so one reminder can go to all of your guests.

  • From the guest menu – by selecting View Guest Portal on any page personalized for them.

What it shows:

  • Confirmation status – with the guest's name and email.

  • QR code, Add to Calendar and wallet pass buttons – shown only to guests with the Confirmed status.

  • Event Activity – every email you've sent the guest, with the date it was sent, and the forms available from each email.

Find any guest's link in their guest profile under Options → View Guest Links, or send it with Send Smart Reminder.

Guest Profile

Where guests update their own details, such as their name and email address.

How guests get there: from the guest menu, by selecting Edit Profile.

What it shows: the guest's details, ready to edit. Changes are kept up to date for future events.

Enable or disable this feature in Portal → Guest Actions.

Communication Preferences

Where guests choose how they hear from your organization. Their choices apply to all events in your Diobox account, including future events, not just the current one.

How guests get there:

  • From the unsubscribe link at the bottom of your emails

  • From the guest menu, by selecting Communication Prefs.

What it shows:

  • Email – the guest's Email Address and a checkbox to receive emails about your events, including event updates, confirmations, reminders and future invitations. Clearing it unsubscribes the guest from emails across all events in your account.

  • WhatsApp – if your events send WhatsApp messages, a Phone number with country code and a checkbox to receive WhatsApp messages on the same topics. Opting out also applies to all events in your account.

Guests click Save to apply their changes, and can change them at any time.

Open a guest's preferences from their guest profile under Options → Communication Prefs.

Event Portal vs. Guest Portal

These two terms are easy to mix up:

  • Event Portal is the overall feature: the template, design, settings and pages that make up your event's guest experience. You set it up from Portal in the event navigation, where you control its design, guest actions, confirmations and automated emails.

  • Guest Portal is what an individual guest sees: the Event Portal rendered for that one guest, with their own confirmation status, QR code and history with your event.

In short, you design the Event Portal once, and each guest sees it as their own Guest Portal.
