The WhatsApp Opt-In Process

WhatsApp requires businesses to receive recipient consent before sending WhatsApp messages. This is known as the WhatsApp Opt-In Process and is part of Meta’s messaging and compliance requirements.

In Diobox, the opt-in process is handled automatically as part of WhatsApp messaging workflows. Organizers do not need to manually track approvals, resend messages, or manage opt-ins outside the platform.


How the Diobox WhatsApp Opt-In Process Works

When sending a WhatsApp message, Diobox checks whether each recipient has already opted in to receive WhatsApp messages for the event.

  • If a recipient has already opted in, the WhatsApp message is sent immediately.

  • If a recipient has not opted in yet, Diobox automatically sends an opt-in request message first. The recipient can approve or decline directly within WhatsApp.

    • If the recipient approves the opt-in request within 48 hours, Diobox automatically sends the original WhatsApp message immediately.

This entire process happens in the background and does not require any manual action from organizers.


Create an Opt-In Message

To create an opt-in message, open the WhatsApp Template Browser and filter to the Opt-In group.

Select the template that works best for your event and add it to the event.

Customize the message so recipients can immediately recognize who is contacting them. Common approaches include:

  • Using the event name

  • Using the company or organization name

  • Using the host or organizer name

Using recognizable wording can improve approval rates and help recipients understand why they are receiving the request.


Multiple Opt-In Messages

Diobox supports multiple opt-in messages within the same event. This is useful for events that need different messaging styles, languages, or branding variations.

Common use cases include:

  • Different messages for different audiences

  • Messages in multiple languages

  • Different organizer or host names

  • Event-specific branding variations

Opt-in messages are pinned to the top of the message list. The current default Opt-In message is identified by a double-arrow icon.


Change the Default Opt-In Message

If multiple opt-in messages exist in the event, you can select which message should be used automatically for recipients who have not yet opted in.

Open the Opt-In message and click Set as Default.


Tracking Opt-In Status and Message Delivery

Diobox automatically tracks WhatsApp opt-in approvals and message delivery activity for each recipient.

This makes it possible to identify:

  • Which guests have opted in

  • Which guests declined or did not respond

  • Which recipients are still pending approval

  • Which guests received the final WhatsApp message

Once the message is sent, tracking and delivery details are available directly from the message reporting interface.


Important Notes About WhatsApp Opt-Ins

  • Opt-in approvals apply per event

  • Guests can opt out at any time

  • Opt-in requests are only sent to recipients who have not yet approved WhatsApp messaging

  • If a recipient does not approve within 48 hours, the original WhatsApp message will not be sent

  • Meta policies and regional restrictions may still affect message delivery

  • Opt-in requests help maintain compliance with Meta’s WhatsApp messaging requirements
