SMS and WhatsApp Messaging in Diobox

Diobox includes built-in SMS and WhatsApp messaging tools for communicating with guests before, during, and after an event. Messaging workflows are fully integrated with guest lists, RSVP statuses, registration forms, and event data, allowing organizers to send personalized event communication directly from Diobox.

Text messaging can be used for invitations, confirmations, reminders, QR code delivery, schedule updates, guest instructions, and other event communication needs.

Diobox includes separate message editors specifically designed for SMS and WhatsApp workflows. The SMS Message Editor allows organizers to freely compose messages and insert merge tags for personalized communication, while the Diobox WhatsApp Message Editor was built specifically to simplify WhatsApp messaging workflows while remaining compliant with Meta requirements.


Sending SMS Messages

SMS messaging allows organizers to quickly communicate with guests using direct text messages delivered to mobile phone numbers worldwide. Messages can include merge tags for guest names, event details, registration information, QR codes, and other dynamic event content.

SMS messages can be targeted and sent in bulk based on guest lists, confirmation statuses, registration activity, custom segments, and other audience filters.


Sending WhatsApp Messages

Diobox supports WhatsApp messaging using Meta-approved WhatsApp templates. WhatsApp messages support richer communication experiences including branded layouts, images, QR codes, buttons, and personalized event content.

WhatsApp messaging workflows in Diobox include template management, message personalization, opt-in handling, delivery tracking, and SMS fallback support.


Template Library

The Template Library includes a collection of event messaging templates organized by category and use case. Organizers can quickly prepare invitations, confirmations, reminders, guest updates, transportation instructions, check-in messaging, and more.

For WhatsApp, Meta requires templates to be approved before they can be delivered. Unlike SMS, WhatsApp message structure and wording cannot be changed freely.

To simplify this process, Diobox maintains a large library of pre-approved WhatsApp templates specifically designed for event communication workflows. This allows organizers to begin sending WhatsApp messages immediately without waiting for Meta approval.


WhatsApp Automatic Opt-In

WhatsApp requires recipient consent before businesses can send WhatsApp messages.

Diobox automatically manages the WhatsApp opt-in workflow in the background. If a guest has not previously opted in, Diobox can automatically send an approval request before delivering the original WhatsApp message.

Organizers do not need to manually track approvals or resend pending messages.


WhatsApp Fallback to SMS

If a WhatsApp message cannot be delivered, Diobox can automatically resend the message as an SMS message.

Fallback to SMS helps maximize delivery rates in situations where WhatsApp delivery is unavailable due to unsupported phone numbers, regional restrictions, or Meta delivery limitations.


Previewing and Sending Messages

Before sending messages in bulk, organizers can preview messages exactly as guests will receive them with all personalized fields applied. Test messages can also be sent to organizers or team members before launch.

For SMS delivery, Diobox automatically routes messages through local phone numbers when possible. This helps improve delivery rates, increase familiarity for recipients, and support messaging compliance requirements across different regions.


Analytics and Reporting

Diobox provides live delivery tracking and reporting for both SMS and WhatsApp messages.

SMS reporting includes delivery status tracking and delivery insights. WhatsApp reporting also includes additional analytics such as opt-in activity, template delivery results, and SMS fallback activity.

Message delivery reports support filtering, audience segmentation, and CSV export for additional analysis.


Resending Messages to Additional Guests

Previously sent messages can be resent to newly added guests or additional audiences without recreating the message from scratch.

This workflow is also supported in the Diobox iOS app, allowing organizers to send individual or bulk messages directly from mobile devices.


Text Messaging Credits

Text messaging is included with the Enterprise Plan. Upon upgrade, accounts receive 500 messaging credits to get started. Additional credits can be purchased at bulk rates as needed.

Credits are shared across the entire account and can be used for both SMS and WhatsApp messaging across all events and team members.
