Working with WhatsApp Templates

WhatsApp messages sent through Diobox use Meta-approved WhatsApp Templates. Meta requires businesses to use pre-approved templates when sending outbound WhatsApp messages to guests.

Unlike email or SMS, businesses cannot freely type and send outbound WhatsApp messages unless the recipient has recently interacted with the business on WhatsApp. This is part of Meta’s spam prevention and messaging compliance system.

Why WhatsApp Uses Templates

Meta reviews and approves WhatsApp templates before they can be used. This approval process helps reduce spam, phishing, misleading promotions, and abusive messaging behavior across the WhatsApp platform.

Because of these requirements:

  • Messages must be approved by Meta before they can be sent

  • Message structure and wording cannot be changed freely

  • Only approved editable fields can be customized

  • Certain industries, countries, and message types may have additional restrictions

  • Message delivery may be limited based on Meta policies or recipient location


Types of WhatsApp Templates

Meta currently supports two primary categories of WhatsApp templates: Utility and Marketing.

Utility Templates

Utility templates are intended for transactional or expected communication related to an event, including:

  • Registration confirmations

  • QR codes and ticket delivery

  • Check-in instructions

  • Schedule updates

  • Reminder messages

  • Badge or session information

  • Event updates and logistics

Utility templates are designed for information guests typically expect to receive after registering or interacting with an event.

Marketing Templates

Marketing templates are intended for promotional communication and are subject to stricter Meta policies and delivery restrictions.

For events, common use cases include:

  • Invitations

  • Ticket promotions

  • Sponsored experiences

  • Upsell campaigns

  • Brand and promotional messaging

Marketing Messages Are Not Delivered to U.S. Phone Numbers

Since mid-2025, Meta does not allow delivery of WhatsApp marketing templates to U.S. phone numbers. Delivery may also be restricted based on recipient country, account status, or Meta policy enforcement.

Event Update templates are designed for real-time communication before or during an event.

Some templates also support attachments such as agendas, PDFs, or informational documents.

Registration Form Templates

Some WhatsApp templates support Registration Forms.

When using these templates, you can select any Registration Form, RSVP Form, or Survey Form within the event.

Diobox automatically personalizes form links for each guest when applicable.

QR Code Distribution Templates

QR Code Distribution templates are specifically designed for sending guest QR codes through WhatsApp.

These templates support:

  • Embedding QR codes directly inside the WhatsApp message

  • Linking guests to their QR Code page and supporting Temporal QRs

  • Sending direct QR links for mobile access

Invitation Templates and Media Support

Invitation templates can support image attachments and branded visuals, including:

  • Invitation graphics

  • Event branding

  • Promotional content

  • Sponsored visuals

  • Event artwork

This helps create more visual guest communication experiences directly within WhatsApp.


Template Abuse and Account Enforcement

Both Meta and Diobox use automated systems and AI-based monitoring to detect misuse of WhatsApp messaging.

Examples of behavior that may trigger restrictions include:

  • Sending misleading or deceptive content

  • Excessive promotional messaging

  • High spam or abuse report rates

  • Sending unrelated messages to recipients

  • Repeated template policy violations

If abuse or policy violations are detected, WhatsApp messaging capabilities may be restricted or disabled for the account.
