Check In Guests with QR Codes

Guide to using Diobox QR codes for guest check-in and understanding the scanner’s basic interface and behavior.

The Diobox mobile apps for iOS and Android include a built-in QR scanner that makes guest check-in fast and reliable. The scanner is designed to streamline event logistics, helping your guests enter the venue quickly while giving staff the tools they need for smooth operations.

Launch the Scanner

The QR Scanner is part of the Diobox app. To open it, go to the Tools tab and select QR Scanner.


QR Scanner Interface and Controls

The interface uses a split-screen layout. One side displays the live camera scanner, while the other shows a running list of recent scans. This allows staff to continue scanning without navigating away, while still monitoring activity in real time.

All scanner controls and configuration options are consolidated into a single settings page, accessible from the top left corner of the screen.

When a QR code is successfully scanned, the system displays detailed guest information including the guest’s name and photo, confirmation status, group or plus-one count, seating assignment, and associated guest lists.

If there is an issue, the scanner clearly displays the reason. This includes duplicate scans, invalid QR codes, guests blocked by restrictions, or other validation rules configured for the event.

Scan activity is processed locally on each device. As a result, the recent scans list reflects only the activity from that specific device, not from other scanners operating at the event. This ensures clarity and prevents cross-device confusion during high-volume check-in.

If you need to view a complete check in list across all devices, use the built in Check In Reports option within the iOS app. This provides a consolidated, event wide overview of guest activity.


Camera Controls

Switching Cameras

You can switch between the front (selfie) and rear camera.

Flashlight

If your device has a flashlight, you can turn it on, which can improve scanning in low-light conditions.


Scanning Modes

Two modes are available:

  • Continuous: When a QR code is scanned, the guest is checked in immediately. The scanner then continues looking for the next QR code without any extra steps. If there is an issue, the app will prompt you with the necessary action.

  • Retrieve Only: When a QR code is scanned, the app opens the guest profile instead of checking them in automatically. This mode is useful when door staff need to review details, confirm guest status, or make manual adjustments before completing the check in.

Scanning modes are set per device, so you can assign different roles to different devices depending on your workflow.


Working Offline

iOS App

Because Diobox uses core technologies of iOS, the QR scanning process can work entirely offline. So if your internet connection drops off, you will be able to continue guest check-ins without any issues.

Android App

The Android app requires that you are connected online.
