Preparing a Text Message

This article guides you through creating a new text message, setting it up, and sending it successfully.

Choose a Template

To start , go to the Texts page and then select + Text Message at the top right corner.

Select one of these templates:

  • Invite with RSVP Forms

  • Invite with Registration Forms

  • Invite with Ticket Payment Forms

  • Send Confirmation Links

  • Send General Updates

Templates provide a starting point and can be customized. If a template includes a form integration, it will insert the default form into the message, but you can replace it with another form if needed.


Set Up Your Text Message

Setting up a text message is straightforward and allows you to configure the following settings:

Sender Phone Number

A Sender Phone Number is assigned to your account and cannot be changed through the UI. Contact support to request a change.

Note: Recipients in different regions may receive texts from a different local number, regardless of the assigned Sender Phone Number.

Recipients

Select recipients for your text message based on the following options:

  • Confirmation Status: Confirmed, Unconfirmed, Waitlisted, and Declined

  • Custom Segments: Create criteria using custom rules

  • Arrival Status: Checked in, Not checked in

  • Guest Lists: Any of your guest lists

  • Seating: Any table or row

Text Message

Type your message in the provided field.

Merge Tags: This dropdown enables you to personalize messages with guest-specific details, including

  • Name

  • Email Address

  • Company

  • Title

  • Seating Details

  • Confirmation Status

  • Confirmation URL (Guest Portal)

Form Links: Use this dropdown to insert a form link into your message.

Limitations: Due to the nature of SMS, you have the following message limitations:

  • 290 characters max

  • Plain text only (no images, bold, or special formatting)


Preview and Send a Test Message

Preview your draft as a guest to see how merge fields populate. Then, send a test message to your own device to check how it appears before sending it to recipients.
