How to send emails from your own corporate domain name

A custom domain enables you to use your own business email address for sending emails, ensuring that emails appear to come directly from your address instead of the diobox.com domain. By authenticating your domain name, recipients are more likely to trust the source of the email, reducing the likelihood of your messages being categorized as spam.

How to Add a New Domain

To add a new custom domain, proceed to Event Settings and select Custom Email Domains.

Then, click Add Domain and enter an email address which has the custom domain name you wish to verify.


Steps for Domain Verification

Verifying your domain requires access to the domain's DNS settings to add specific records. These changes can typically be made through your domain registrar or hosting provider (e.g., GoDaddy, BlueHost, Squarespace, CloudFlare). If you are unfamiliar with DNS management, consider seeking assistance from your IT department.

You can find detailed instructions and copy the required values are available by selecting View Verification Instructions in the Options dropdown.

After updating your DNS settings, return to the Diobox Custom Email Domains settings and click Check DNS Records to finalize the verification. Once your domain is successfully verified, as shown by the "Authenticated" status checkmarks, you will be able to send emails from that domain right away.

Note that most DNS changes should only take a few moments to update, but in some cases it could take up to 24 hours for the changes to propagate.


How to Select and Change Active Domains

Verified domains are marked with an "Authenticated" status and a green checkmark. Before using a domain to send emails, you must set it as the Sending Domain.

To switch your active sending domain, use the Options dropdown and choose Set as Sending Domain. A confirmation dialog will appear to finalize your selection.


Additionally, you have the option to set a Sender Email for automated confirmation messages sent to guests upon registration. To do this, go to Event Settings > Email Notifications and refer to the "Email Notifications for your Guests" section.

Once a domain is verified, it becomes available for use across all events within your account, streamlining the email management process for multiple events.


Updates to Legacy Authenticated Domains

Effective March 15, 2024, a new authentication process for custom domains will be required. If your domain has been previously verified with Diobox, you must still comply with new requirements set forth by Google and Yahoo. These changes necessitate updating DKIM records and implementing a DMARC policy for your domain to ensure uninterrupted email delivery. Failure to update your domain’s authentication will result in emails being rejected (not sent) once the change goes live.

Navigate to Event Settings > Custom Email Domains to update your "Legacy Authenticated" domains with the required DNS modifications.


A Note on SPF Records

Diobox no longer requires SPF records for its custom email domain service. Email authentication is handled using DKIM and DMARC, as described above.

However, some corporate email systems may still use SPF checks to determine message deliverability. To enhance internal email delivery, you can optionally add an SPF record to your domain. The specification, including the domains and IP addresses used by Diobox to send emails, is provided here:

Adding an SPF record may improve the trustworthiness of emails under certain corporate policies, though in most cases it may not have a noticeable effect. Importantly, adding an SPF record should not negatively impact email delivery from Diobox.

Please note that the SPF record is optional, and Diobox no longer provides a tool to validate it in the platform.
