Importing Guests from a CSV File

Import your guest list from a spreadsheet

Updated over a week ago

You can use a standard CSV file to import guests into a Diobox event. This process allows you to map CSV columns in your own file into new or existing fields in Diobox.

Using the Diobox Web App (https://app.d.io), open the destination event that you want to import into.

Step 1

Click the Guests dropdown and select Import Guests.

For best results, download our template and populate that file with your guest information.

Step 2

Select your template file

Click Select File and choose the file on your computer that you prepared.

If you CSV file includes column names, select the checkbox First Row Contains Headers.

Step 3

Confirm the columns that you want to import

This page previews how the columns in your CSV file match the Diobox guest fields. Review each column to make sure its contents match the header.

  • A red column means that the column doesn't match with any Diobox field and it won't be imported.

  • A green column means that the column matches a Diobox field and will be imported.

  • To change how a column maps to a Diobox field, click the dropdown arrow and select a different field.

  • If you don't want to import a column, click the Skip button and the column will turn red.

Import Custom Fields

You can import your own custom guest fields to track additional guest information.

Any column in your CSV file (that is not matched with a Diobox field) can be imported as a custom field. By default, these fields will show as unmatched (red) columns.

To import them, click the dropdown for that column and select the field name below the header Custom Field. This will use the original header in your CSV file to add your custom field.

Then, select the type of the custom field you are importing:

  • Custom Text

  • Custom Email

  • Custom Phone Number

If you don't select a type, your custom field will be added as Custom Text.

In the above example, we are importing an "Assistant Email" as a custom field with an Email type.

Step 4

Handle Duplicate Guests

If you want to create a new guest for every row in your import file, select Create New People.

If you already have existing guests in your event (or any previous events), you can select Update Existing People, which uses the guest email address to prevent creating duplicates and merges their data. This process is also helpful for automatically building a guest history when you have multiple events with repeat guests.

Note: Update Existing People only updates guest profile fields and not custom fields.

Tag a Guest List

If you want to specify a specific guest list to import your guests into, select one from the dropdown menu. You can create a new guest list before you begin the import process.

Tagging Additional Guest Lists

You can tag your guests with up to 2 guest lists during the import process:

  1. The Guest List column (in your CSV file) accepts 1 single Guest List at the time of import

  2. Selecting a Guest List on the last step of the import process tags all guests during the import process. This helps you differentiate your CSV files, if you expect to import multiple CSV files

You can always assign guests to additional guest lists after the import using Bulk Actions.

Start Import

Click Import to begin the importing process.

The time to process the import depends on the number of guests you are importing. When the import has completed, the new guests will automatically appear in your event.
