Printer Setup: Brother QL-800 Series

This article explains how to set up a Brother QL-800 series printer for badge printing with the Diobox iOS app, including required paper tape, Bluetooth setup, and Wi-Fi setup.

Supported Printer Models

Diobox supports the following Brother QL-800 series printers for badge printing:


Compatible Paper Tape

The Brother QL-810 and QL-820 printers work with several label tapes. The following papers are compatible:

  • DK-2251 for black and red printing.

  • DK-2205 for black printing only, any color will print in black.


Before You Begin

  1. Load the correct paper tape in the printer, for example DK-2251 or DK-2205, and close the cover.

  2. Plug in the printer and power it on. Wait until the green status light is steady and the main screen appears.

  3. Decide whether you will connect using Bluetooth or Wi-Fi based on your event setup.

  4. Make sure you have the Diobox iOS app version 6.14 or higher installed.

Option 1: Connect with Bluetooth

Use these steps for a QL-820NWB model that supports Bluetooth.

On the printer

  1. Press the power button to turn on the printer.

  2. If you are not on the main screen, press the back arrow button to return to it.

  3. Press the Menu button.

  4. Use the up and down arrow buttons to navigate to Bluetooth > Bluetooth (On/Off), then select On and press OK.

  5. In the same Bluetooth menu, select Automatic Reconnection and set it to On, then press OK.

  6. Press the back arrow button to return to the main screen. You should see the Bluetooth icon in the top right corner of the display.

On your iPhone or iPad

  1. Open the Settings app.

  2. Go to Bluetooth and make sure Bluetooth is turned on.

  3. Under Devices, look for your Brother printer name, such as “Brother QL-820NWBXXXX”.

  4. Tap the printer entry to connect. Wait until the status shows as connected.

In Diobox

  1. Open the Diobox app and your event.

  2. Go to Event Tools > Badge Printing.

  3. Tap Printer and select your Brother QL-820NWB from the Bluetooth list.

The app will remember this printer for the current event unless you change it.


Option 2: Connect with Wi-Fi using Infrastructure Mode

Wi-Fi is recommended when you want multiple devices to share the same printer.

On the printer (Brother QL-820 series only)

  1. Press the power button to turn on the printer and wait for it to fully start.

  2. If you are not on the main screen, press the back arrow button to return to it.

  3. Press the Menu button.

  4. Use the arrow buttons to navigate to WLAN > WLAN (On/Off), then set it to On and press OK.

  5. In the WLAN menu, select Infra Manual Setting and press OK.

  6. Use the arrow buttons to find your event Wi-Fi network name, then press OK.

  7. Enter the Wi-Fi password using the printer keypad and confirm.

  8. When the printer connects, a “Connected” message appears. Press OK.

  9. Press the back arrow button to return to the main screen. You should see the Wi-Fi icon in the top right corner.

Using the Brother iPrint&Label app (Brother QL-810W series)

To configure Brother QL-810W printers, you must first connect directly to your printer's Wi-Fi network, then use a Brother app on your device to connect the printer to your access point.

  1. Download the Brother iPrint&Label from the App Store.

  2. Press the power button to turn on the printer and wait for it to fully start.

  3. Press and hold the Wi-Fi button on the Label Printer for one second to turn the Wi-Fi function on. The Wi-Fi LED starts flashing blue once every three seconds.

  4. Open Settings > Wi-Fi, select the SSID of the Label Printer, and enter the password. The factory default SSID and password are as follows:

    • SSID: DIRECT-****_QL-810W where ***** is the last five digits of the product serial number.

    • Password: 810***** where ***** is the last five digits of the product serial number.

  5. Once your device is connected directly to the printer's Wi-Fi network, open the Brother iPrint&Label app.

  6. Tap [Settings] - Printer.

  7. Tap Settings > Wi-Fi Network Setup.

  8. Enter the SSID and password of your wireless access point/router. (Note: these are the router's SSID and password, not the printers in step 4.)

  9. Tap [Connect] and do not leave this screen until the setup is complete.

On your iPhone or iPad

  1. Open Settings > Wi-Fi.

  2. Connect to the same Wi-Fi network that you configured on the printer.

In Diobox

  1. Open the Diobox app and your event.

  2. Go to Event Tools > Badge Printing.

  3. Tap Printer, then choose Search for Wi-Fi Printers if shown.

  4. After the search completes, select your Brother QL-810W or QL-820NWB from the list.


Verifying Printer and Badge Setup

After connecting the printer:

  1. In Badge Printing, verify that your Brother printer name is shown as the selected printer.

  2. Select the badge template you plan to use.

  3. Open any guest, tap Print Badge, and confirm the test badge prints correctly.

  4. Check print quality, alignment, and that the content fits within the label.

If the output is misaligned or cut off, confirm that the badge template size matches the tape width and that the correct tape type is installed.


Troubleshooting Tips

  • Printer not listed in Diobox

    • Confirm the printer is turned on and Bluetooth or Wi-Fi is enabled.

    • For Wi-Fi, confirm both the printer and the device are on the same network.

    • Restart the printer and your iOS device if needed.

  • Cannot pair over Bluetooth

    • Make sure the Bluetooth icon is visible on the printer screen.

    • Turn Bluetooth off and on again on your iOS device and retry pairing.

  • Wi-Fi connection fails

    • Double-check your printer is configured for Infrastructure Mode.

    • Double-check the Wi-Fi password.

    • Make sure the network does not block new devices or AirPrint-style discovery.

Once your Brother QL-800 series printer is set up, you can use all badge-printing workflows in Diobox, including auto-print on check-in, on-demand printing, and bulk printing.
